Terms and Conditions

Whether you’re planning a birthday party, a baby shower or special event, our friendly team at ‘Prop My Party Hire’ will ensure you’re event looks and feels amazing on the day without the stress or the heavy price tag!

To achieve this, below are our terms and conditions which have been detailed for your perusal. This will ensure your special event runs effortlessly.

DELIVERY CHARGES

Charges apply for delivery, set up, pack down and travel expenses. Our hire duration is for a full 24 hour day which includes the time required to drop off on the day of the event and collect the following day unless otherwise agreed by one of our team members in writing. Please advise us prior to your event if you wish to have collection the same day. All fees will be outlined in the quotation and final invoice.

One of our friendly team members will calculate the additional charges based on your event location and will be communicated within the quote.

DEPOSITS

A 25% deposit is required 14 days prior to your event. This will ensure your booking is secure. Please note, we cannot save or hold an event date unless a deposit has been applied to your booking or order. A deposit will ensure your preferred date has been secured. Deposits are non-refundable.

PAYMENTS

When booking your event with Prop My Party Hire, you agree to the following:

Upon Booking, 25% of the total amount is due no later than 14 days prior to your event (non-refundable). The outstanding balance for your hire is due no later than 7 days prior to your event.

PRICES

Our prices are current at the time of the quotation; however, these may change slightly depending on industry changes or at our discretion.  Please note, once the booking deposit has been made a confirmation will be issued ensuring hire prices are fixed.

SECURITY BOND / HOLDING DEPOSIT

A security bond is due when making final payment and or collection of hire items. The amount will depend on the items hired. This will be communicated by one of our team members in writing. Any damages or loss of items will be charged at the current replacement value and will be deducted from your bond.

Should any breakages or loss of items exceed the cost of the bond, you will be billed at the current value. This amount is due within 30 days from when the invoice was issued.

Your bond will be retained until all items have been checked and verified. All items will be thoroughly checked over, we will email you directly to advise if any items/parts need replacing, and or a full replacement cost is needed. If you do not receive an email from Prop My Party Hire, this means all items have been checked and cleared and your bond/holding deposit will be returned in 7 days. You authorise Prop My Party Hire to deduct any amounts owing from this holding deposit and if the amount is greater than your bond, you authorise Prop My Party Hire to charge the final total amount to the client and you take full responsibility for these charges.

DAMAGE, LOST, STOLEN OR UNCLEAN EQUIPMENT

Upon pickup or delivery of the equipment and until the return of the equipment to the Prop My Party Hire’s premises, the client has full responsibility of all equipment hired. You will be required to pay the full replacement cost of any equipment damaged, lost or stolen as per the terms outlined in the section titled SECURITY BOND/HOLDING DEPOSIT. It will be at the discretion of Prop My Party Hire to decide whether it can be repaired or will require replacement. Any equipment returned unclean (unless advised otherwise) will result in a payment of the full cost of returning the equipment to a clean condition. A fee is incurred for all goods requiring cleaning, for example, dessert displays, donut displays, party props, table cloths, backdrops, plinth covers and carts. In poor weather conditions storage of the equipment may be necessary and is your responsibility to see that the equipment is stored and protected safely. Any equipment damaged from weather is your full responsibility and shall be paid at full replacement cost. It is your responsibility to notify us should the equipment not be in an acceptable condition within 2 hours of receiving the equipment. Otherwise, any damage or uncleanliness of equipment shall be deemed your responsibility.

Prop My Party Hire also reserve the right to inspect the returned hire equipment and notify the client of any damages or concerns associated with their hire within a 72hr timeframe. The Client shall protect the equipment from any harmful elements during the time of hire. It is the responsibility of the client to see that the equipment is stored and used safely at all times. This includes the delivery and pickup location of the package to your premises or event location. A minimum cleaning fee applies to all hire packages. This will be detailed in your quote/invoice.

MISUSE OF EQUIPMENT

Prop My Party Hire shall not be liable for any loss or damages arising from misuse or abuse of the equipment by the client. The client agrees to keep Prop My Party Hire indemnified in respect thereof.

INSURANCE AND PERMITS

The client accepts all risk in relation to the equipment and its use until it is safely returned to Prop My Party Hire in good condition. The client is responsible for obtaining all permits and insurances required. Prop My Party Hire will not be held responsible for your or a third party’s failure to adhere to council regulations and insurances. No responsibility will be assumed for any injuries resulting from the hire of our products.

The client shall ensure that all the equipment is adequately insured under the Customers “All Risks Insurance Policy” which shall be available for Prop My Party Hires inspection on request. Prop My Party Hire will not insure any equipment. Any insurance policies undertaken are the sole responsibility of the client. The Client bears all risk in relation to the Equipment and its use until the equipment is safely picked up/ returned to Prop My Party Hire in good condition. Prop My Party Hires Public/ Products Liability Certificate of Currency is available upon request.

ACCESSIBILITY

You agree to inform Prop My Party Hire before your event if there is any difficulty accessing the setup area, for example, stairs, lift access, parking and loading dock details. We must be advised 14 days prior to your event. The client agrees to disclose all information if there are any difficult access points.

DECORATIONS

If you wish to add additional decorations to your hire/package such as balloons and or a custom sign, we will need to be advised first before doing so. Under NO circumstance are you to stick anything directly to the frames, fabric cover, plinth/stand or cover. Under NO circumstance are you to put any holes on the package frame, fabric cover, plinth/ stand or cover. Under NO circumstance are you to put any type of food or drink directly onto the fabric cover provided for the stand/ plinth. DIY Balloon Garland Kits are available to purchase from Prop My Party Hire.

PHOTOGRAPHY / PROMOTIONS / ADVERTISING

Prop My Party Hire reserves the right to use any photographs of your package for display or promotion purposes without permission or compensation to you. Please inform us via email at propmypartyhire@gmail.com if you would prefer not to have your photographs used for display or promotion purposes.

CANCELLATIONS

Cancellation must be made 14 days before your event in writing. A booking fee of 25% of the total invoice amount is non-refundable and non-transferable. Booking cancellations that are 30 days or more before the event and are paid in full will receive a refund less the 25% non-refundable booking fee. Cancellations of bookings due to weather conditions or personal reasons will not be refunded. Prop My Party Hire is in no way responsible for weather or unforeseen circumstances that may cause the client to cancel their booking.

OUTSIDE EVENTS AND WEATHER CONDITIONS

Our hire items are NOT weatherproof including Backdrops, Acrylic Stands, Donut Boards, Party Props and Frames. Prop My Party Hire is in no way responsible for the outside, uncontrolled weather conditions. We will NOT set up any of the hire items outdoors if it is sprinkling, raining and or windy conditions. Prop My Party Hire reserves the right to decide upon arrival of your event or the day of hire collection not to hire out or set up our equipment should the weather be uncertain. We will do our best to work with you and/or the venue to find a suitable alternative. If there is no suitable alternative, Prop My Party Hire reserve the right to cancel the booking with NO REFUND on the final balance as the items and date were reserved for your event and includes any cost of items already sourced and purchased for your event. All bookings are non-transferable.

COLLECTION AND DELIVERY

If you have chosen pickup and drop off for our equipment hire, it is your responsibility to transport inventory safely. If we feel our items will not be treated with such care, we maintain the right to refuse our stock from leaving the premises until more careful measures are executed.

If the items are transported back to the premises without care, your Security Bond will be retained for compensation.

By booking with Prop My Party Hire and paying the non-refundable 25% booking fee, you accept all of our Terms and Conditions noted in this document.
